How many cold emails can you send a day from Gmail or Google Workspace?

Outreach26 SEPT 2026 · 6 MIN READ

Google allows 2,000 emails a day from a paid Google Workspace account and 500 from a personal Gmail account. Those are ceilings for all your mail, not targets for cold email. A new mailbox should start at about 5 cold emails a day and build up slowly. Here are the numbers and why.

Google's published limit is 2,000 emails a day for a paid Google Workspace account, 500 a day while a Workspace account is on a trial, and 500 a day for a personal Gmail account. Those are the most Google will let one account send, for all of its mail. They are not a target for cold email. A new mailbox should send about 5 cold emails a day, add 5 more each day it sends, and settle around 30 a day.

The gap between 30 and 2,000 is not caution for its own sake. It is the difference between how much Google permits and how much it trusts.

Google's daily sending limits

From Google's own help pages:

Go over the limit and Google stops the account sending for a while. Its help page says sending usually comes back within 24 hours, which is a long day to lose if your quotes and invoices go from the same address.

Why the limit is the wrong number to aim at

The limit counts everything the account sends: replies to customers, invoices, your cold emails. More to the point, a mailbox can be well under the limit and still land in spam, because providers decide where your mail goes on how it behaves, not on how many it sends. What they watch includes:

  • Sudden jumps. A mailbox that sent ten emails last week and three hundred today looks like it has been taken over.
  • Bounces. Addresses that do not exist suggest a bought or guessed list.
  • Complaints. Every "report spam" counts against you, and cold email to the wrong people collects them.
  • Replies. Real answers from real people are the best evidence your mail is wanted.

A slow start with well-matched companies gives you replies and few bounces. A fast start gives you the opposite, and a domain that has lost trust takes weeks to win it back. Email warm-up for UK cold outreach goes into how that trust is built.

A safe daily number for cold email

The ramp we use for every mailbox connected to Leadistry:

  1. First day: 5 emails.
  2. Second sending day: 10.
  3. Third: 15.
  4. Fourth: 20.
  5. Fifth: 25.
  6. Sixth and after: 30, the default ceiling.

Two rules make the ramp work. It only moves up after a day that actually sent, so a quiet Tuesday or a weekend in the middle costs nothing and never makes it jump two steps. And it cannot be switched off.

You can set the ceiling anywhere from 5 to 50 a day. Above 30, the app warns you, because in our view one mailbox sending more than 30 cold emails a day adds risk faster than it adds replies. If you need more volume, the honest answer is usually better-matched companies, not more emails.

Sending days and hours matter as much as the number

Thirty emails fired off at 3am look automated. Thirty spread across a working day look like a person. By default Leadistry sends Monday to Friday, 09:00 to 17:00 UK time, and you can change both the days and the hours on the Mailbox page.

The Mailbox page shows the plan as bars, one for each sending day, with how many emails go on it, so you can see when your approved emails will actually leave. The same numbers sit under the list on the Feed: how many have gone today, which day of the warm-up you are on, and how many can go tomorrow.

Follow-ups count too

Follow-ups come out of the same daily allowance as first emails. With two follow-ups on day 4 and day 9, a mailbox sending 30 a day will, after a week or two, spend part of that 30 on follow-ups. That is how it should be: a follow-up to someone you already wrote to is often worth more than a first email to someone new. Cold email follow-ups covers the timing.

Gmail, Google Workspace or Outlook

For cold email to other businesses, send from a Google Workspace or Microsoft 365 address on your own domain rather than a personal Gmail address. It is the address your customers already know, and it carries your business name.

Connecting it to Leadistry is one sign-in. There are no passwords to hand over and no SMTP settings. We ask to send emails as you and to read the replies to those emails, and nothing else in your inbox. Every email then sits in your own mailbox’s sent folder, like one you typed.

Before the first send, check your domain's SPF, DKIM and DMARC. The Mailbox page marks each one in place or not, with step-by-step fixes for Google or Microsoft; a personal Gmail address needs nothing set up. The SPF, DKIM and DMARC guide explains what each record does.

The short version

  • Google's ceiling is 2,000 a day for a paid Workspace account and 500 for personal Gmail. Treat both as far away.
  • Start at 5 cold emails a day, add 5 each day that sends, and settle at about 30.
  • Send on working days, inside working hours.
  • Let replies and low bounces build the trust, and raise the number only when the results say you can.

Common questions

How many emails can I send a day from Gmail?

Google's help page for personal Gmail accounts gives a limit of 500 emails a day. A paid Google Workspace account can send up to 2,000 a day per user, and a Workspace account on a trial 500. Those limits cover all your mail, not just cold email.

How many cold emails a day is safe from a new mailbox?

Start at about 5 a day, add 5 each day that actually sends, and settle around 30. That is the ramp Leadistry applies to every connected mailbox, and it cannot be switched off.

What happens if I go over Gmail's sending limit?

Google stops the account sending for a period. Its help page says sending usually comes back within 24 hours, which means a day without quotes, invoices or replies from that address.

Do follow-ups count towards the daily number?

Yes. In Leadistry, first emails and follow-ups share the same daily allowance for each mailbox, so a warming mailbox is never pushed past its limit.

Can I send more than 30 cold emails a day?

You can set the ceiling anywhere from 5 to 50 in Leadistry, and above 30 it warns you. For one mailbox, more than 30 cold emails a day usually adds risk faster than it adds replies.
